Tutorial: Export from Outlook to Access

Introduction

This tutorial explains how you can export a calendar from MS Outlook to MS Access. MS Outlook can export the different sections to various file formats. This example will export directly to the MS Access MDB fileformat. This example requires at least MS Outlook to be able to export the data. If you need to view the exported data you will need MS Access. Both applications are part of the Microsoft Office Suite. The tutorial will use MS Outlook 2003.

Exporting from MS Outlook

To start you should have events programmed in your calendar, otherwise the exported data file will be empty. The export is initiated from the File menu selecting Import and Export.

This will open the Import and Export Wizard. In this wizard you need to select Export to a file and click the Next button. The options listed on this screen are to import data in to MS Outlook.

In the next step you need to select to what format you want to export your data. Select Microsoft Access as the file format to export to and click Next.

In the next step you need to select which section of MS Outlook to export. In this tutorial we will export the calendar section of MS Outlook. Select Calendar under Personal Folders and click Next.

In the next step you need to select where to save the export MS Access data. Type the folder path or use Browse to select the output folder. After selecting the path click Next. If you already exported before to the same location and with the same filename MS Outlook will ask if it should overwrite the old export.

In the next step you can map the different MS Outlook fields to MS Access field. You can skip this step by clicking Finish. When clicking Finish a new dialog window will open asking you to set the date range to export. Set the date range as required and click OK. After clicking OK MS Outlook will show a progress window for the export. After it closes the export is finished.

The exported data will use the date format of your machine which will affect your use of the MS Access data. For example United States systems will use the mm/dd/yyyy format whereas many European systems will export to dd/mm/yyyy.
